A LETTER TO VENDORS

Dear Prior year or Potential Vendor:

Vendor plans have come together and there are no significant changes being made for the Hill Country Antique Tractor & Engine Club's eighth show at the Gillespie County Fairgrounds in Fredericksburg, Texas, on June 8th and 9th, 2012.

In 2010 and 2011, EDGE&TA made it clear that its insurance does NOT cover vendors. That and other EDGE&TA requirements has prompted HCAT&EC to secure additional insurance for our show. The good news is that our new insurance DOES provide third-party liability coverage for vendors at NO COST to the vendors. Because of this, the cost of a booth has reverted to our original $25 for each booth. Club members still get one booth free. While the Club is providing third-party liability insurance, personal liability coverage is being left up to each vendor and is suggested but not required.

As those of you that attended the 2010 and 2011 shows saw, the changes made improved the traffic flow in the vendor area.  We hope that this year's changes will increase the traffic even more.

There have been no changes to the rules, they read as follows:

  1. We will need a copy of your Tax ID number so that the City of Fredericksburg can request a refund of sales-tax dollars from the State of  Texas.  Tax-exempt forms will be available for those eligible.
  2. All food vending will be provided by the Fair Association.  Packaged jams, preserves, honey, and other things intended for off-site consumption are OK.
  3. This is a family show and anything deemed inappropriate will not be allowed.

There will be two types of booths available --15' x 15' booths in the shade of a partially-enclosed pavilion or 15' x 30' booths in the open air next to the pavilion.  The cost of the first booth of either size will be $25; additional booths will be $25 each for the two days of the show. The larger open-air spaces are an effort to accommodate those vendors with trailer loads of old iron or parts for sale. At this time, we cannot accept credit cards.
